1) About TRACE

 

Travel, Recruitment & Cultural Exchange Ltd (TRACE) provides travel-related services, including flight booking assistance, tours and travel planning, visa processing support, cultural exchange program support (including J-1 and H-2B related services), and tax return intake/support for eligible participants.

 

By using our website, requesting a quote, submitting forms, purchasing packages, or engaging TRACE services, you agree to these Terms & Conditions (Terms).

2) Eligibility & Client Responsibilities

 

You agree that you:

  • are legally able to purchase services and provide information,

  • will provide accurate and complete information and documents,

  • will review and approve all details before we proceed (names, dates, destinations, etc.),

  • understand that some services depend on third parties (airlines, embassies, sponsors, tax platforms, tour operators) and are subject to their rules and timelines.

If you are booking for other travelers, you confirm you have permission to provide their information and to accept these Terms on their behalf.

3) Scope of Services

 

 TRACE may provide the following services:

 A) Flight Booking Assistance

        Flight search, itinerary options, booking support, basic add-ons assistance (baggage/seat guidance), and customer support related to airline bookings.

 B) Tours & Travel Planning

        Tour package coordination, itinerary planning, bookings with tour operators and suppliers, and general travel guidance.

 C) Visa Processing Support

        Administrative support such as intake, document checklists, form guidance, appointment guidance, and submission readiness support.

 D) Cultural Exchange Program Support (J-1 / H-2B and related)

        Program information and administrative support such as intake assistance, document preparation guidance, placement coordination support (where applicable), and general onboarding guidance.

 E) Tax Return Intake/Support (J-1 & H-2B participants)

        Collection of information and documents needed to facilitate tax filing support (including nonresident filing where applicable). TRACE may provide intake, coordination, document organization, and referral support to third-party filing platforms or tax preparers (where applicable).

Important: TRACE is not an airline, embassy/consulate, government authority, or sponsor organization. We do not control approvals, decisions, processing times, or third-party service delivery.

4) Quotes, Prices & Availability

  • Prices and availability (especially flights) can change at any time due to demand, currency movement, taxes, and supplier rules.

  • A quote is not guaranteed until the supplier confirms the booking and (where applicable) the ticket is issued.

  • Unless stated otherwise, quotes are valid for up to 60 minutes from the time provided.

5) Payments, Service Fees & Taxes

 

A) Service Fees

        TRACE charges service fees for research, consultation, coordination, document support, booking assistance, and administrative work. These fees are separate from supplier costs (airline tickets, tour operator charges, embassy fees, courier fees, insurance, etc.).

 B) Supplier Charges

        Supplier charges may be paid:

  • directly by you to the supplier, or

  • through TRACE (where offered and agreed).

 

If you authorize TRACE to pay a supplier on your behalf, you confirm you approved the itinerary/service details and payment amount.

 C) Payment Processing & Currency

 

        Payments may be processed via third-party payment processors. Processing fees may apply and may be non-refundable. Prices may be displayed in JMD and/or USD depending on the service.

6) Refund Policy (General)

 

Refund outcomes depend on the service type and stage of work.

 A) TRACE Service Fees

  • Service fees are non-refundable once TRACE begins work, including itinerary research, consultations, supplier calls, booking attempts, form preparation guidance, or document review.

  •  If TRACE is unable to deliver a service due to our own confirmed error (e.g., duplicate charge), we will review and may refund or credit at our discretion.

 B) Supplier Refunds

  • Supplier refunds (airlines, tour operators, embassies, etc.) are governed by the supplier’s own rules. TRACE cannot override supplier policies.

SERVICE-SPECIFIC TERMS

7) Flight Booking Terms

 A) Approval Before Booking

  We book only after you confirm:

  • the chosen itinerary/option, and

  • passenger details exactly as on passport/ID.

 B) Name Accuracy

     Names must match passport/ID exactly. If you provide incorrect details, TRACE is not responsible for airline penalties, re-ticketing costs, or denied boarding.

 C) Changes, Cancellations & Rebooking

  • All flight changes/cancellations depend on airline fare rules and may include penalties and fare differences.

  • TRACE may charge an additional service fee for rebooking, changes, cancellations, missed-connection support, and refund assistance.

 D) Airline Disruptions

      TRACE is not responsible for airline delays, schedule changes, cancellations, denied boarding, baggage issues, or operational disruptions. We can assist with guidance where possible (fees may apply).

8) Tours & Travel Planning Terms

 A) Tour Operators & Suppliers

        Tours may be operated by third parties. Your booking is subject to the tour operator’s rules, safety standards, schedules, and cancellation policy.

 B) Itinerary Changes

        Itineraries may change due to weather, safety concerns, operator decisions, or unforeseen events. TRACE is not liable for changes made by operators.

 C) Late Arrivals & No-Shows

        Guests who miss tour times may be considered no-shows and may not receive refunds, depending on the operator’s rules.

9) Visa Processing Support Terms

 A) No Guarantee of Approval

    Visa decisions are made only by the relevant embassy/consulate/government. TRACE does not guarantee visa approval, appointment availability, or processing timelines.

B) Client Responsibility

    You are responsible for:

  • truthful and accurate information,

  • attending required appointments/interviews,

  • paying official fees, and

  • complying with embassy instructions.

 

C) Refusal, Denial or Delays

TRACE is not responsible for visa refusals/denials, administrative processing, delays, or policy changes by governments.

 

10) Cultural Exchange Program Terms (J-1 / H-2B and related)

 A) Third-Party Decisions

       Sponsors, employers, and government agencies control eligibility and acceptance. TRACE cannot guarantee acceptance, placement, timing, or approvals.

 B) Program Rules & Conduct

       Participants must follow program and employer rules. Violations may result in termination, loss of eligibility, or other consequences determined by the sponsor/employer/authority.

 C) Fees

       Program-related service fees may become non-refundable once TRACE begins program work (intake, document preparation guidance, coordination, or placement steps).

11) Tax Return Intake/Support Terms (J-1 & H-2B)

 A) Scope

   TRACE may provide:

  • intake collection (forms and document checklists),

  • coordination and submission support (as applicable),

  • guidance on what documents are needed,

  • referral to third-party filing tools or tax professionals where required.

 B) Not Legal/Tax Advice

   TRACE does not provide legal advice and is not responsible for final tax determinations. Tax outcomes depend on your information, U.S. tax rules, and the filing platform/preparer used.

 C) Accuracy & Responsibility

   You are responsible for providing truthful and complete information. Incorrect or missing information can affect filing results, timelines, or eligibility for refunds.

 D) Refunds

   Tax filing service fees (including coordination) are typically non-refundable once work begins.

12) Document Submission & Secure Sending

 For your protection:

  • Do not send highly sensitive information (full card details, CVV, PIN, one-time passwords/OTPs, online banking passwords) via WhatsApp, email, or social media.

  • Where sensitive identifiers are required (e.g., SSN/ITIN), TRACE will provide a secure method or instructions for safe submission.

  • If you believe you sent sensitive information through an insecure channel, contact TRACE immediately at [email] / [WhatsApp].

 

13) Communication & Service Timelines

  • Business Hours: [Insert days/times]

  • We aim to respond as quickly as possible; response times may vary during peak periods and holidays.

  • Some services depend on third-party timelines (airlines, embassies, sponsors, tax platforms) and may take longer than expected.

 

14) Prohibited Use & Refusal of Service

  You agree not to:

  • provide fraudulent or misleading information,

  • misuse our website or systems,

  • harass staff or engage in abusive conduct,

  • attempt chargebacks for services already performed in good faith.

TRACE reserves the right to refuse or cancel service where fraud, abuse, or safety concerns exist.

15) Intellectual Property

 All content on this website including our business name, logos, branding, original text, layouts, graphics, service descriptions, and original designs created by TRACE is owned by or licensed to Travel, Recruitment & Cultural Exchange Ltd (TRACE) and is protected by applicable laws.

 

Some images, videos, icons, fonts, and other media used on this website may be:

  • provided through Wix or other third-party libraries under license, and/or

  • created using AI tools and used in accordance with the applicable tool/platform permissions.

TRACE does not claim exclusive ownership of third-party licensed media or AI-generated media where exclusivity or copyright ownership is not available. These materials remain subject to the rights and licenses of their respective owners or providers.

 

You may view, download, and print TRACE Content for personal, non-commercial use only. You may not copy, reproduce, republish, sell, or distribute TRACE Content (or any website materials) for commercial purposes without our written permission.

16) Privacy

Our collection and use of personal data are governed by our Privacy Policy, available on our website.

17) Limitation of Liability

 To the maximum extent permitted by law:

  • TRACE is not liable for indirect or consequential losses (missed trips, lost wages, hotel costs, penalties, or other losses).

  • TRACE’s maximum liability is limited to the service fee paid to TRACE for the specific service giving rise to the claim.

  • TRACE is not responsible for actions, errors, decisions, or policies of third parties (airlines, embassies, sponsors, tax platforms, tour operators).

 

18) Changes to These Terms

TRACE may update these Terms at any time. Updates will be posted on this page with a revised “Last Updated” date. Continued use of the website or services means you accept the updated Terms.

19) Governing Law & Disputes (Jamaica)

These Terms are governed by the laws of Jamaica. Any disputes will be handled in Jamaica, unless otherwise required by applicable law.
